These team members manage all the clients once they have scheduled an initial free consultation. They handle all texts, calls and emails from the client, make scheduled sales calls, manage follow-up leads, create contracts and send initial payment links. Often the first point of contact for new potential clients.
1. Prioritize all scheduled sales calls.
2. Maintain daily communication via Slack with team and manager and review all posted updates and information.
3. Review and respond to all incoming texts, calls and emails within 24-48 hours.
4. Send accurate deal-pitched links
5. Take detailed client notes
6. Qualify booked leads and convert to sales by offering information, honesty, hope and empathy with effective sales tactics.
Case Managers are assigned to a Conversation Group in Go High Level, our CRM tool, to monitor conversations and respond to all texts, emails and calls within their assigned group within 24 hours. The case managers are trained in all legal processes and are capable of performing all tasks related to any team so that they can fully assist in addressing all of the client needs within their conversation group.
Daily responsibilities:
1. Answering all texts, missed calls and emails within 24 hours within their assigned group.
2. Complete any pending tasks related to incoming requests, including:
>> Helping clients obtain contracts
>> Assisting with the Client Intake task and updating the client accurately
>> Making detailed notes, labeling documents and uploading in the correct folders
>> Assisting with the Case Evidence task and communicating detailed information to the client about the status of received, missing and required documents
>> Reading Clio Custom Fields, documents and client conversation history to give detailed and accurate case updates to clients
>> Maintaining clear communication and updates throughout the arbitration process and assisting with replead interviews as needed

This position is a case manager who prioritizes answering incoming calls. They are trained in all legal processes and are capable of performing all tasks related to any team so that they can fully assist in addressing all of the client needs. They are primarily responsible for booking all new client conversations via the new client qualification form/ new client booking form.
Daily responsibilities:
1. Answering all incoming calls
>> New client calls to schedule a consultation
>> Retained client calls to answer detailed case questions and updates
2. Respond to all missed calls to book new client consultations
3. Be able to assist retained clients calling in with the following:
>> Client Intake updates and related actions to assist in document processing
>> Demand letter updates
>> Arbitration updates
>> Case Evidence updates and related actions to assist in document processing

This team exclusively manages weekly review of the Clio Client Intake task type. They assist the client in obtaining documents, completing BALs, CRMs, and managing the redacted contract process with management.
Daily Responsibilities
1. Reviewing, updating and completing Client Intake tasks based off of weekly recurring due date
>> Scan all inboxes for pending uploads
>> Upload documents with detailed titles in correct folders
>> Update the client about items received and items pending
>> Make detailed notes on the task
>> Update all relevant Custom Fields
>> Continue to reset the task due date until all Client Intake items are received
>> Assist clients in completing the Client Intake Form
This team exclusively manages all Clio tasks related to billing and all LawPay activity. They onboard all new clients (creating case files, payment plans and verifying fee agreements), manage incoming payments, and follow-up for failed payments.
Daily Responsibilities
1. Onboarding new clients with new payment tasks
>> Altering Opportunity Pipelines to create case files
>> Creating payment plans
>> Updating Clio Custom Fields accordingly
2. Applying new payments to relevant accounts and updating Custom Fields with new payment tasks
3. Following up with clients who have had failed payments with failed payment tasks and managing withdrawals for nonpayment
4. Managing the Client Payments folder in the [email protected] inbox
5. Fielding all incoming requests in Slack payments channel
This team focuses on the client pipeline once their arbitration has been filed, which has 14 stages currently and complicated due dates with legal implications. This team manages arbitration filing, case evidence, replead interviews and document production prior to the final hearing.
Daily Responsibilities
1. Filing all arbitrations based on Clio stages and task due dates
2. Tracking POS for arbitration serving packets
3. Managing all inbound arbitration communications by monitoring multiple inboxes 4. Updating Clio legal calendars and relevant Custom Fields
5. Tracking invoice send dates and payment dates
6. Performing detailed replead interviews prior to arbitration
Arbitration calendar dates are filling up and we will need a legal team trained in the unique case law of solar panel contract disputes in arbitration. The legal team takes over the case when opposing counsel reaches out or arbitration commences.
Daily Responsibilities
1. Respond to arbitration related emails
2. Complete legal calendar deadlines and associated legal paperwork via our documented processes
3. Negotiate with demand letter respondents
4. Arbitrate client cases via Zoom
5. Answer detailed legal questions from the sales team and the case management team
